Five ways to deliver — or not
Sending follows finalization
Drafts cannot be sent, shared or downloaded as customer-facing PDFs. Finalize first so the customer receives a numbered, locked document.
Sending changes
- The delivery state: Not sent → Sent, and Viewed when the link is first opened.
- The delivery history: each send is recorded with its recipient and time.
Sending never changes
- The number, issue date, lines or totals.
- The payment state or outstanding balance.
- A failed email leaves all of the above untouched — fix the address and resend.
Email from Hectile
A PDF is a file. A link is a view you control.
PDF download
- A file the customer keeps. Once downloaded or attached to an email, it is out of your control.
- Reflects the document as issued, including any Cancelled marking at the time of download.
Secure document link
- Opens a read-only view of one document, with the PDF download and payment instructions. Shows current payment state and Cancelled if applicable.
- Long, unguessable and revocable. It is not a customer account or portal.
- Example, not a live address: hectile.com/d/example-token-not-live
Revoke or regenerate a link
If a link was sent to the wrong person or shared too widely, revoke it. The old address stops working immediately; the document itself is unaffected. Regenerating gives you a fresh link to share. Revoking never recalls a PDF that was already downloaded or emailed as an attachment.
Organization Admins can still revoke links after a trial ends or a subscription lapses — this is a security action, not a billing one. Existing links otherwise keep working.
Common questions
No. Drafts are internal. Finalize the document, or share the preview with a colleague who is a member of your Organization.
No. Resending adds a delivery record to the same issued invoice. The number, date and amounts do not change.
The document as issued, its current payment state (for example Partially Paid or Paid), payment instructions and a PDF download. Internal notes are never shown.
Not through that link. A PDF they downloaded earlier is still theirs. Share a regenerated link if they should keep access.
