Document numbering
How each Brand numbers invoices, estimates, notes and receipts — and how to continue from your old system.
Each Brand has its own number series for each kind of document. A document gets its number only when it’s finalized, and issued numbers never change.
Settings
- Brand — each Brand’s series are separate.
- Prefix — like BD-INV-; the next number follows.
| Series | Example |
|---|---|
| Invoices | BD-INV-0121 |
| Estimates | BD-EST-0043 |
| Proformas | BD-PI-0012 |
| Credit notes · Debit notes | BD-CN-0008 · BD-DN-0005 |
| Receipts | RCT-0093 |
| Delivery notes · Challans | BD-DLN-0019 · BD-DC-0004 |
- Open Settings → Numbering
Choose the Brand.
- Set the prefix and next number
For example, continue from 0482 if your old system ended at 0481.
- Save
The next finalized document uses it.
With GST invoicing on, invoice numbers must be 16 characters or fewer, using letters, digits, - and /. Settings → GST checks every GST series and offers a GST-valid format with the financial year, like BD27/26-27-0042. See GST registrations and numbering.
Common questions
Why didn’t my draft get a number?
Drafts are numbered only when finalized — so deleted drafts never leave gaps.
Can two Brands use the same prefix?
Each Brand should have its own prefix so customers and your accountant can tell them apart.
