Estimates that turn into invoices

Send a professional estimate or quotation with a valid-until date. Your customer accepts, asks for changes or declines on the secure link — and an accepted estimate becomes an invoice, a deposit or a proforma with every line carried across.

What you can do with it

Valid until, not due

Estimates carry a validity date and show Expired when it passes.

Accepted online

Customers accept, request changes or decline on the link.

Convert in one click

Create the invoice, a deposit, a part or a proforma from the estimate.

Correct Estimate

Fix an open or declined estimate without starting again.

How it works

Four steps, no training needed

  1. Create the estimate

Same editor as invoices: customer, lines, tax, notes and terms.

  2. Send it

By email with the PDF and link, on WhatsApp, or as a download.

  3. Your customer replies

Accept, Request Changes with a note, or Decline with a reason.

  4. Invoice it

The whole estimate, a deposit, a part, the remaining amount or a proforma.

Know where every quote stands

Each estimate shows Open, Accepted, Declined or Expired, and you’re told the moment a customer replies — in the bell, by email, even in Slack. A change request comes with the customer’s note, so you can correct the estimate or mark the request handled.

You can also record the outcome yourself with Mark as Accepted or Mark as Declined when the answer came by phone.

From quote to cash

Invoice all of it, or part of it

Bill a 30% deposit now and the rest on delivery. Each part invoice keeps every estimate line at the same share with its own tax, and the estimate shows Partly Invoiced until it reaches 100%. A deposit due on acceptance can even be drafted for you the moment the customer accepts.

Quotation or estimate?Same document, your word. Many businesses call it a quotation; Hectile’s estimates work for both, and the title on the document is yours to choose in the template.

FAQ

Questions about Estimates & quotations

Can customers accept an estimate online?

Yes. The estimate’s secure link has Accept, Request Changes and Decline, each with a confirmation. Accepting never creates an invoice by itself — your team stays in control.

What happens when an estimate expires?

It shows Expired after its valid-until date. You can duplicate it or correct it to send a fresh one.

Can I offer options in an estimate?

Yes — optional lines the customer can tick, and choose-one groups like Standard or Premium. See Estimate options.

Can I bill an estimate in parts?

Yes: a deposit or any share now, and the remaining amount later. The invoices always add up to the estimate exactly.
