Acceptable Use Policy

Hectile is operated by Zealsync Private Limited. This policy describes conduct that is not allowed on Hectile. It forms part of the Terms of Service and applies to everyone who uses hectile.com or the Hectile application.

1.Purpose and relationship to the Terms

Hectile exists so that businesses can invoice and quote their customers professionally. This policy protects those businesses, the people who receive their documents and the service itself. Words such as Organization, Brand, Admin, Member, Invoice, Estimate and Draft have the meanings given in the Terms of Service.

If this policy and the Terms conflict, the Terms prevail. Where a law applying to you is stricter than this policy, the law prevails.

2.Ordinary invoicing is what Hectile is for

In short: Sending many genuine documents to your own customers is normal use, however many there are. This policy is about deception, unsolicited contact and abuse — not volume.

The following are examples of ordinary, legitimate use, at any volume a paid Organization needs:

  • Issuing Invoices and Estimates to customers you have a real business relationship with, including recurring work you invoice each period yourself or through a recurring invoice your Organization sets up.
  • Running several trading names as Brands within one legal business, and separate Organizations for separate legal businesses.
  • Emailing documents to the billing contacts your customers have given you, resending a document that was not received, and sharing a document link with the person it is addressed to.
  • Recording payments your customers have made to you, including partial payments.
  • Using AI Quick Create to prepare Drafts that you then review, correct and finalize.

A paid Organization has no cap on the number of documents it can create. A commercial allowance is not, however, permission to send unsolicited mail or to run abusive automation against the service (sections 5 and 10).

3.Unlawful or fraudulent use

You may not use Hectile to break the law or to help anyone else do so. In particular you may not:

  • Issue documents for goods or services that are illegal, or that you have no intention of providing.
  • Use Hectile to launder money, evade tax, conceal the true parties to a transaction or falsify business records.
  • Create documents that misstate amounts, dates, taxes or parties in order to deceive a customer, a tax authority, a lender, an insurer or anyone else.
  • Process personal information you are not entitled to hold, or in a way that breaches the privacy rights of the people concerned.

4.False or deceptive documents and impersonation

Every document you issue must come from a business you are entitled to act for and describe a real transaction with the customer named on it. You may not:

  • Create an Organization or Brand in the name of a business you do not represent, or use another business’s name, logo or tax identifiers.
  • Send an Invoice for something the recipient never ordered, or that looks like a renewal, a government fee, a debt or a bill from another supplier when it is not.
  • Alter a document after issue by any means to change what the customer was told, or present a Draft or a cancelled document as a valid issued document.
  • Impersonate Hectile, Zealsync, their staff or their providers, or suggest that Hectile has verified, approved or guaranteed a document, a business or a payment.

Hectile relies on your statements about your identity. Where a document is reported as deceptive, we may ask you to substantiate the underlying transaction.

5.Spam, unsolicited bulk email and misuse of document sending

Document sending is for delivering Invoices and Estimates to the people they are addressed to. You may not:

  • Send documents, or use the email fields, notes or attachments of a document, to deliver marketing, newsletters or other unsolicited content to people who have not asked to receive it.
  • Send Estimates or Invoices in bulk to purchased, scraped or otherwise unsolicited address lists, or to people who have no business relationship with you.
  • Repeatedly resend a document to someone who has asked you to stop, or use resending as a pressure or harassment tactic.
  • Use document links or emails as a lure for phishing, malware or credential collection.

Emails sent through Hectile identify the sending Organization. Complaints from recipients, bounce rates and provider abuse reports are taken into account when we assess whether sending has been misused. Recurring invoices that your Organization sets up to be sent automatically, and automatic payment reminders, are sending by your Organization and are subject to this policy in the same way as emails you send yourself. Review each template’s recipients and schedule before you turn automatic sending on, use it only for customers who expect these emails, and pause or end it when a customer asks you to stop.

6.Trial abuse, duplicate accounts and evasion of limits

The trial, the refund rights and the plan limits exist so that everyone gets the same fair terms. You may not:

  • Create multiple accounts or Organizations for the same legal business in order to obtain more than one trial or more than one first-purchase refund, or to obtain trial access for a business that has already used one.
  • Represent one legal business as several Organizations, or several legal businesses as one, to avoid paying the per-Organization subscription. Brands are for one legal business trading under several names.
  • Share one member seat between several people, or otherwise circumvent the member limit or the trial’s single-member rule.
  • Manipulate AI action counting, or use failed-action handling to obtain AI actions you are not entitled to.
  • Use a private offer, discount or claim link you were not issued, or transfer one to another Organization.

We may decline, revoke or not extend a trial, and may refuse a refund under the Refund & Cancellation Policy, where we reasonably believe the service is being used in one of these ways, subject to your mandatory legal rights.

7.Unauthorized access and interference

You may not:

  • Access, or attempt to access, another Organization’s data, another user’s account, or any part of the service you are not authorized to use.
  • Probe, scan or test the vulnerability of the service, bypass authentication or authorization, or tamper with document links or tokens — except as part of a security report made responsibly to us through Contact → Security report.
  • Interfere with the operation of the service, its providers or other users, including by overloading it, introducing malicious code, or disrupting email delivery.
  • Copy, scrape or harvest data from the service other than your own Organization’s content through the features provided.

8.Malicious content

You may not upload, attach, link to or transmit through Hectile any malware, ransomware, spyware or other harmful code, or content designed to exploit a recipient’s device or software. This includes Brand logos and any link placed in a document’s notes or payment instructions.

9.Infringement of others’ rights

You may not use Hectile in a way that infringes anyone’s intellectual property, privacy, publicity or contractual rights, or that is defamatory, harassing or discriminatory. Logos, trading names and descriptions you use must be ones you are entitled to use. If you believe content on Hectile infringes your rights, tell us through Contact Legal with enough detail for us to locate it.

10.Automated abuse and resource misuse

Hectile does not currently offer a public API or bulk-import tooling. You may not use scripts, bots or automated tools to create accounts, Organizations, documents or AI requests, to generate or send documents at rates that no genuine business workflow would produce, or to consume resources in a way that degrades the service for others. We may apply rate limits and other technical controls to protect the service; attempting to evade them is itself a breach of this policy.

11.Misuse of AI-generated content

AI Quick Create proposes Drafts for your review. You may not:

  • Finalize or send an AI-proposed Draft without reviewing it, then hold the recipient to errors you did not check.
  • Use AI requests to generate deceptive, harassing or unlawful content, or to attempt to extract information about other Organizations, the underlying model or the service’s configuration.
  • Submit content you have no right to process, or content designed to manipulate the model into ignoring safety, accuracy or scope constraints.

You remain responsible for every document your Organization issues, however it was drafted.

12.Reporting suspected abuse

If you have received a document through Hectile that you believe is fraudulent, unsolicited or otherwise breaches this policy, or you are aware of any other misuse of the service, please tell us through Contact → Security report. Include the document number, the sending business name and the email address or link involved, and — if it is a security matter — the steps to reproduce it. Please do not report suspected vulnerabilities in public.

Reports are used to investigate the matter; we may contact you for more detail. We do not disclose the identity of a reporter to the Organization concerned without their permission except where the law requires it.

13.How we respond

Where we reasonably believe this policy has been breached, we take action proportionate to the harm and the evidence, which may include: asking you to correct or remove content, pausing document sending, restricting AI features, suspending a member or an Organization, or terminating the account. Notice periods, the opportunity to fix a problem and the right to respond follow section 10 of the Terms of Service: except where a delay would cause serious harm to others or breach the law, we tell you the reason and allow at least 7 days to put it right before suspending, and you can respond through Contact Legal. We may also notify recipients, providers or authorities where required or where we consider it necessary to prevent serious harm. Customer Content is not deleted as part of a suspension.
