1.What this policy covers
In short: Cancelling future renewal, asking for money back for a charge already made, what happens when a trial ends, what you can still do after a subscription ends, and the AI Boost add-on are different things. Each has its own section.
Hectile is sold as one subscription per Organization, monthly or yearly, plus an optional monthly AI Boost add-on. Prices and what is included are on the Pricing page; the working of trials and read-only access is explained in the Trial, Subscription & Billing guide. Subscription payments are processed by our subscription-billing provider acting as merchant of record.
2.Refund on a first subscription purchase
If Hectile is not right for your business, you may request a full refund within 14 calendar days of the first actual paid charge of your Hectile subscription. For a subscription that began with a trial, that is the first automatic charge when the trial ended — not the trial start or the zero-value authorization of your payment method. This applies to monthly and yearly subscriptions alike.
The 14-day refund is available once per customer and legal business. Creating additional accounts or Organizations for the same business does not restart it. It does not apply where the subscription was used fraudulently or in deliberate breach of the Acceptable Use Policy, subject to your rights under applicable law.
An approved full refund ends the paid entitlement for the refunded period and the Organization moves to read-only access (section 6). Your records are retained as described in the Privacy Policy.
3.Cancelling future renewal
An Organization Admin can cancel the subscription for that Organization from the billing area of the application. Cancellation takes effect at the end of the current paid billing period; paid access continues until then, and the subscription simply does not renew.
Cancelling on its own does not refund a charge that has already been made, and there is no routine prorated refund for unused time outside the refund rights stated in this policy. If you want a refund as well, see sections 2, 4 and 7.
One exception sits outside this policy: if an Organization cancels because its objection to a new or replacement Subprocessor could not be resolved, the Data Processing Addendum (section 6) provides a pro-rata refund of prepaid fees for the remainder of the current period. That refund applies only to that situation and does not extend to ordinary cancellation.
4.Accidental renewal
If a renewal is charged that you did not intend to keep, you may request a refund of that renewal charge within seven calendar days of the charge, provided that since the renewal no new documents have been issued or sent and no AI actions have been used in the Organization. Viewing your records and downloading existing documents do not disqualify the request.
When a renewal refund is approved, the renewal is cancelled and the Organization moves to read-only access.
5.Trial expiry
The 7-day trial applies to your first eligible owned Organization and requires a payment method. Unless you cancel before it ends, the subscription you chose begins automatically at the end of the trial and its first charge is made then; we remind you about 24 hours before. If you cancel during the trial, nothing is charged and the Organization moves to read-only access when the trial ends (section 6). If the first charge fails or is not yet confirmed, the Organization is read-only until it is. Some Indian bank and UPI payments take up to about two days to confirm after the charge; until the first payment is confirmed the Organization stays read-only, and it gains no extra paid access while it waits. Your records are not deleted. You can activate a monthly or yearly subscription at any time afterwards to resume full access.
6.Access after a subscription ends
When a subscription ends — because it was cancelled, refunded, because a cancelled trial expired, because the first charge after a trial could not be collected, or because a renewal payment could not be collected — the Organization becomes read-only. Members can still sign in, view and search records and download issued PDFs, and existing document links keep working (an Admin can still revoke them). Creating, editing, finalizing, sending, recording payments, inviting members and AI actions are paused until a subscription is active again. Nothing is deleted automatically; deletion happens only on a verified request as described in the Privacy Policy.
7.AI Boost
AI Boost is an optional monthly add-on that adds AI actions to an Organization’s monthly allowance. It is billed monthly even when the main subscription is yearly, and unused actions do not roll over. If a Boost is cancelled, the actions already paid for remain usable until the end of that Boost period.
An AI Boost purchase whose additional actions have not been used may be refunded within 14 calendar days of the charge. Once its additional actions have been consumed, no routine change-of-mind refund applies. Billing errors (section 8) and your mandatory legal rights remain exceptions.
8.Billing errors
If you have been charged twice for the same period, charged after a confirmed cancellation, or charged an amount that does not match the price shown at checkout, tell us as soon as you notice through Contact → Billing. We check the record with the billing provider and correct confirmed duplicate or incorrect charges in full. Reporting an error promptly helps us resolve it quickly; it is not a condition of your statutory rights.
9.How to request a refund
Use Contact → Billing and include the email address on the account, the Organization name and the transaction reference from your receipt. Never send us full card details, sign-in codes or recovery codes; we will never ask for them.
Approved refunds are returned through the original payment channel where the provider supports it. The refund leaves our billing provider promptly after approval; how long it then takes to appear depends on your bank or payment provider, and we cannot guarantee their posting times.
An approved full subscription refund ends the paid entitlement for the refunded period. Your Organization’s records are retained in read-only access and handled according to the Privacy Policy.
10.Your statutory rights
Nothing in this policy limits rights you have under the consumer-protection or other laws that apply to you and that cannot be excluded by agreement. Where such a law gives you a right to cancel or to a refund that is broader than this policy, that law applies. Refund requests and disputes are otherwise governed by section 15 of the Terms of Service.
