What to have ready
Setup goes faster with these details to hand. Organization Admins can update business details later. Documents already issued retain the details captured when they were finalized.
The setup sequence
Hectile guides you through this order because each step depends on the one before it. The illustration shows a business midway through setup.
Your first document
Start with whichever document matches the situation. Both use the same editor.
Start with an Invoice
You already agreed the work and want to bill for it. Add the customer, the lines you are charging for, the due date and payment instructions. Finalize when it is correct.
Create and manage invoicesStart with an Estimate
You are proposing work and want the customer to agree first. Add a validity date. When they accept, you can create a separate Invoice Draft from the Estimate.
Estimates and quotationsSaving a Draft is not issuing a document
Draft
- Shows “Draft” instead of a number.
- Every field can be edited; you can delete a Draft you no longer need.
- Cannot be sent, and cannot receive payments.
- Saving a Draft uses nothing from a numbering sequence.
Issued (finalized)
- Gets the next official number in the Brand sequence.
- Customer, lines, amounts, tax and dates are locked as a record.
- Can be emailed, shared by secure link or downloaded as PDF.
- Payments you receive are recorded against it.
You correct an issued document by cancelling it and issuing a corrected one — never by editing the original. Drafts are the place to fix mistakes before they become records.
About your trial
The seven-day trial applies to your first eligible owned Organization once the trial is activated, with one Primary Brand and one member. Creating an account or Organization alone does not start it or grant AI actions. When AI is enabled, the trial includes ten AI actions in total.
Trial, subscription and billingCommon questions
No. You can add a new customer while writing your first Draft. Saving customers means you will not retype their details next time, and lets you set a preferred currency once.
When you finalize it. Drafts show “Draft”; the Brand’s next number is assigned at finalization so abandoned Drafts never leave gaps in your sequence.
The trial includes one Primary Brand. Paid Organizations include unlimited Brands, each with its own presentation, defaults and numbering, sharing your customers, items and team.
No. Accept the invitation and sign in; the Organization, Brands and customers already exist. Being invited does not use up your own trial eligibility should you later create an Organization of your own.
